My bookkeeping: simple, free and on your device
Updated on
Invoices, quotes, expenses, bank and VAT in one place, with the year’s result and a file ready for your accountant. For self-employed people, liberal professions and small companies. A non-profit with simplified accounts has its own tool: my non-profit’s annual accounts.
Everything happens in your browser: Indexo receives nothing. You keep your data on your device if you choose, and you export it to a file.

What you can do here
- Sales: compliant invoices and credit notes, as a PDF ready to send, prices entered excluding or including VAT, invoices repeated every month, quarter or year, quotes turned into an invoice in one click, payments received (even partial ones), payment reminders with late-payment interest, a catalogue of your services, daily takings without an invoice.
- Expenses: every receipt or purchase invoice gets a voucher number, a category, the VAT you recover and the tax-deductible share; attach a photo of the receipt or the PDF, import a Peppol invoice you received, repeat subscriptions and rent.
- Bank: import the CSV statement from your online banking; Indexo recognises your customers’ payments by their structured payment reference and helps you reconcile each transaction.
- VAT: the boxes of your monthly or quarterly return, the VAT to pay or to recover, and the deadline.
- Result: the estimated profit for the year, category by category, with depreciation, then an estimate of your contributions and your tax.
- For your accountant: sales, purchase and bank journals, double-entry bookings with the accounts of the Belgian standard chart of accounts, invoices as PDF and Peppol, photos of receipts, the annual listing of VAT-registered customers and the intra-Community statement, in a single ZIP file.
What kind of bookkeeping do you need to keep?
- Self-employed person in their own name, simple partnership (société simple), SNC (general partnership) or SComm (limited partnership) whose turnover excluding VAT in the last financial year does not exceed €500,000 (€620,000 for fuel sales): simplified bookkeeping. At least three journals kept up to date and in date order (financial, purchases, sales), and an inventory once a year. Liberal professions have been subject to it since 2019.
- SRL, SA, SC (private limited, public limited and cooperative companies), and the others above the threshold: double-entry bookkeeping, with a chart of accounts that follows the Belgian standard minimum chart of accounts (PCMN), and annual accounts.
- Sales to private individuals without an invoice (shops, hospitality, hairdressing…): daily takings book, with each day’s total broken down by VAT rate. Since 10 January 2026, any item sold for more than €500 goes on a separate line.
- Every entry is based on a voucher, dated and numbered, and an error is corrected by a new entry that leaves the first one readable: a credit note for an invoice, a credit note received or a new voucher for an expense.
- Retention: 7 years for books and vouchers (Code of Economic Law), 10 years for VAT and income tax. Keep your vouchers and exports for 10 years; for an invoice received via Peppol, the XML file itself.
Indexo keeps the sales, purchases and bank journals for you. Export them at the end of each period and keep these files: they form your archive.
For income tax, a liberal profession is taxed on the amounts received during the year; a commercial activity, on what it invoices. Indexo calculates the result according to the activity chosen in your profile.
Your expenses: what you recover and what you deduct
For each category, Indexo suggests the recoverable share of VAT and the tax-deductible share. You can change them for each expense: for example, the business share of a phone or internet subscription that you also use privately.

VAT for the period
Indexo sorts your sales invoices and expenses into the boxes of the periodic VAT return: sales by rate (boxes 01 to 03, VAT in 54; zero rate in 00), services to customers outside the EU (47), reverse-charge sales (45), services to customers in other EU countries (44), credit notes (48, 49 and 64), purchases (81 to 83, including non-deductible VAT, as FPS Finance’s explanatory notes require), purchases in the EU (86 and 88, VAT in 55) or under reverse charge (87, VAT in 56), deductible VAT (59). From these it works out box 71 (VAT payable) or 72 (amount owed by the State).
The return must be filed and paid by the 20th of the following month at the latest (monthly return, moved to the next working day where needed) or by the 25th of the month after the quarter (quarterly return, never moved). You enter the amounts in Intervat or MyMinfin yourself.
Getting paid: reminders and late payment interest
- Between businesses, late payment interest (statutory rate for commercial transactions, revised every six months) and fixed recovery compensation of €40 are due automatically from the day after the due date. Indexo calculates the interest to the day and prepares a friendly reminder or a formal notice of default.
- With a private individual, the first reminder is free and gives 14 days to pay. Only after that can interest be claimed, and fixed compensation if your terms and conditions provide for it (no more than €20 on amounts up to €150, and €2,000 at most).
The calculation in detail: late payment interest.
Your data stays with you
Indexo has no server for your invoices or your bookkeeping. Your data stays in the page while it is open; if you choose, it is kept in your browser, on this device only. Export it to a file regularly (every month, for example): that is your backup, and it is how you get your data back on another device. Keep these files for 10 years, like your vouchers.
What Indexo does not do
- It does not file anything on your behalf: no VAT return, intra-Community statement (listing), annual customer listing or tax return.
- It does not send invoices via Peppol: it prepares the file, which you import into a Peppol access point (how to do it).
- It does not prepare a company’s annual accounts and does not replace an accountant: it saves time for you and for them.
Frequently asked questions
Is it really free?
Yes, with no sign-up and no limit on invoices. Indexo does not sell your data: it never receives it.
Can I use it on my phone and on my computer?
Yes, but the data stays on the device where you enter it. To switch from one to the other, export it to a file and import that file on the other device.
Can my accountant import my data?
Yes: ‘For my accountant’ prepares a ZIP file with the sales, purchases and bank journals, the double-entry bookkeeping entries (PCMN accounts) and the invoices in Peppol format. These are CSV files, which accounting software can import.
Can a company keep its books here?
A company keeps double-entry books and files annual accounts: Indexo prepares the pre-accounting work (invoices, expenses, bank, VAT) and the entries, which your accountant imports and completes.
